Chapter 6 · Things Rally makes / 6.5
Saving and sharing what Rally wrote
Turn a reply into a polished image or PDF, copy text and tables, and know every way content leaves Rally.
Sooner or later someone without Rally asks you to "send that over". Here are the ways to get a reply, a file or a table out of Rally. At the bottom is a complete list of every way content can leave Rally today, for whoever has to answer questions about where the data goes.
Save a reply as an image or a PDF
Under each of Rally's finished replies, next to Copy and Speak, are two buttons: Image and PDF. (You met the row in Reading Rally's answers.) They turn that one reply into a tidy page and save it to your Mac.
The page looks like something you would be happy to send: a splash of colour as the backdrop, a rounded white sheet, the reply set as a proper document, and the Rally mark with Saved from Rally at the bottom.
- Hover under the reply.
- Click Image for one tall picture (a JPEG), or PDF for a document with pages. The PDF repeats the Rally signature in the footer of every page.
- A save dialog opens in your Downloads folder. Rally suggests a file name made from the reply's first line and the date, such as
acme-follow-up-2026-08-13. Change it if you like and click Save.
Folded sections of a long reply are always shown in full in the saved page, so nobody receives a document with bits hidden inside it.
Use it to pass an answer to someone who does not use Rally, to drop a reply into a slide deck, or to keep a record of what was decided.
Before you rely on it:
- The buttons are in the Mac app only. The web browser version does not have them.
- A reply with no text has no buttons.
- Saving can take a little while for a long reply, up to about a minute before Rally gives up.
- If saving fails, the button reads Image failed or PDF failed until you move the pointer away. Try again, or try the other format.
- For a long reply, choose PDF. An image taller than about 6,000 pixels is saved at normal rather than sharp resolution, and one taller than about 12,000 pixels is cut off at the bottom. The PDF has no such limit. The image is a postcard; the PDF is a letter.
- Closing the save dialog without saving is fine. Nothing is lost and nothing is saved.
Copying
Copying puts content on your clipboard, so it goes wherever you paste it next.
- Copy under a reply copies its text.
- Right-click inside a message for Copy, which keeps the formatting (headings, bold, lists and links) for pasting into an email or a document, and Copy as markdown, which copies the plain Markdown. If you have selected part of the message, Copy copies only the selection. Both are described in Reading Rally's answers.
- Code blocks have their own Copy code button.
- On a Mac, the same right-click menu has Share, which hands the message's text to the Mac's own sharing menu.
- For a live site that keeps data, Copy as CSV in the Stored data view copies a table for pasting into a spreadsheet (up to its first 200 rows). See Live sites.
Downloading files
Any file in a Channel, whether you attached it or Rally made it, can be downloaded as the original file. See Download the original file.
Sharing links
- Click a Channel's or Breakout's name in its title pill and choose Copy link. A link opens that place in Rally, for people who are allowed to see it. Links are covered in Search and links.
- A live site has a public link that anyone can open. Read Sharing a site, and who can see it before you send one.
Every way content leaves Rally
If you look after your team's data, or someone has asked exactly where their information can end up, this is the complete list of the ways a person can take content out of Rally today:
| Way out | What leaves | Who can receive it |
|---|---|---|
| Image and PDF under a reply | One reply, as a file on your Mac | Whoever you give the file to |
| Copy, Copy as markdown, Copy code | Text you copied | Wherever you paste it |
| Share in a message's right-click menu (Mac) | The message's text | The app or person you share it with |
| Copy as CSV on a live site's data | Up to 200 rows of a site's stored data | Wherever you paste it |
| Download a file | The original file, on your Mac | Whoever you give the file to |
| Copy link in a Channel's or Breakout's menu | A link only | Only people who can already see that place in Rally |
| A live site's public link | The latest version of the site | Anyone who has the link |
| Guests (see Sharing with people outside your Organization) | The conversation you shared | The person you invited |
Rally itself can also send content out when you ask it to, for example by posting in Slack or writing to a Google Doc through a connection you made. Those are covered tool by tool in Connecting your other tools.
Note
There is no button to export everything in your account or Organization at once. To ask for a copy of your data, or for it to be corrected or deleted, email help@rallywith.ai. The Rally team will check that the request comes from you, and, for content that belongs to an Organization, that you have the authority to ask on its behalf. What Rally keeps, and deleting your data has more.
The next chapter is about Sidekicks, helpers that keep making things while you are busy elsewhere.
