Chapter 11 · Privacy and security / 11.3

What Rally keeps, and deleting your data

How long Rally keeps your content, what archiving and leaving do, and how to ask for your data to be deleted.

Rally is built to remember. A Channel you started in spring is still there in autumn, with every message, file and artifact version. That is the point of it, and it also means you should know how long things stay and how to have them removed. This page summarizes section 8 of the Privacy Policy (effective September 21, 2026) and explains what the buttons in the app do.

Note

The Privacy Policy still uses some of Rally's old names. Where it says workspace, read Organization; work streams are Channels; automations are Sidekicks.

How long Rally keeps things

WhatHow long
Your work: Channels, Breakouts, messages, files, artifacts, Sidekicks and their runs, including anything Rally fetched from your connected tools while doing the workNo automatic expiry. It stays until someone with the right to do so deletes it, or the Organization is deleted.
The Organization's audit records (who joined, who changed what)For as long as the Organization exists.
The one-time check Rally uses when you link your Slack account15 minutes.
Rally's own records of product events and deliveriesUp to 90 days.
Reduced analytics summariesUp to 13 months.
Usage reports waiting on your Mac to be sentAt most 14 days. If they have not gone by then, they are not sent.
Account, security and legal recordsAs long as reasonably needed for those purposes.

Two more points from the policy:

  • Backups. When something is deleted from Rally's live systems, a copy can remain in encrypted backups for a while. Backups are kept apart and expire on a normal rotation.
  • Anonymous figures. Rally may keep information that has been stripped of anything that could reasonably identify a person.

Archiving is not deleting

Throughout this manual you have met Archive: for Channels and Breakouts in Arranging your Channels, for Spaces, for Sidekicks and for resources. In every case archiving takes something out of sight. It does not erase it.

  • A Channel. Archiving takes it out of the sidebar for everyone who can see it, and nobody, you included, can open it again. Any run in progress stops, scheduled follow-ups stop, and mail to its address is refused. As the dialog says: Nothing is deleted, but Rally has no way to bring a channel back.
  • A Breakout. The same: it is kept, and there is no control in the app to restore it.
  • A Space. Archiving removes its pill from the sidebar. Spaces are the one thing you can restore from the app.
  • A Sidekick. Its schedules stop, and its conversation and run history stay stored but can no longer be viewed. It cannot be unarchived.
  • A resource. It leaves the Channel's list. The original file in Google Drive, Slack or wherever it came from is not touched.

Archive when you want something gone from view. If you need the content erased, ask for deletion as described below.

Disconnecting a tool

When you delete a connection in Settings → Connections, Rally stops reaching that tool. Work Rally already did with it stays in your Channels. The Privacy Policy spells this out for Slack: disconnecting stops new access but does not delete Rally Channels, summaries or artifacts that already contain Slack information. To remove the Rally app from Slack itself, a Slack administrator also has to uninstall it in Slack.

Leaving an Organization, and closing one

Leaving an Organization removes it from your Rally account on every device. The work you did there stays with the members who remain.

If you are the last member, leaving closes the Organization: nobody can open it again. Closing makes it unavailable without deleting its retained data. To have that data deleted, ask for it as described below.

Leaving, removing and closing walks through both.

On your iPhone

The iPhone app's Settings has an Account deletion section with two items. Their names promise a little more than one of them does, so read this before you tap.

Delete account on this device asks you to confirm in a box titled Delete account on this device?, then:

  • leaves the Organization you have open on the phone,
  • signs you out, and
  • removes your saved sign-in from the iPhone's Keychain.

It does not erase your Rally account, and it does not erase the Organization's data for the other members. The screen says so, and so do we.

Request data deletion opens Rally's Privacy Policy, which explains how to ask for real erasure.

Warning

Delete account on this device makes you leave your current Organization, which affects every device you use, not only the phone. To come back you need a new invitation. If you only want the phone signed out, tap Sign out instead.

Asking for your data to be deleted

There is no button in the app that erases your account or an Organization's data. To ask for deletion, email help@rallywith.ai. Say what you want deleted and which Organization it belongs to. Do not send passwords or the content itself.

The same address handles the other rights you may have, depending on where you live: to see, correct, export or restrict what Rally holds about you.

What happens next:

  • Rally checks who you are before acting, and for content inside an Organization, that you have the authority to ask.
  • Content belongs to the Organization. Rally handles an Organization's work on its behalf, so a request about that work usually goes to the people who run your Organization first. If you are not an owner or administrator, talk to one.
  • Some records may be kept where the law allows or requires it, such as security and legal records.

Chapter 12 has more on writing to the support team, including what to put in your message.
