# Sharing with people outside your Organization

> Invite a client or contractor into one conversation by email, and take that access back when you are done.

Sometimes the person you need is not in your Organization: a client reviewing a
proposal, a contractor on one project, an accountant once a year. You can invite
them into a single conversation by email, without giving them anything else.
People who join this way are **guests**.

## Share a conversation

You can share from two places.

- **The title pill.** Open the Channel or Breakout, click its name in the
  title pill and choose **Share**. This shares that conversation: the
  Channel's main conversation, or the Breakout.
- **The sidebar.** Right-click a Channel in the sidebar and choose **Share**.

Then:

1. The **Share conversation** window opens: **Invite people to collaborate using
   their email address.**
2. Type one or more addresses in **Email addresses**. Separate them with spaces,
   commas or semicolons.
3. Click **Share**.

The same **Share by email** form also sits in the participants window, under
the list of members (see
[People in the room](https://rallywith.ai/help/working-in-a-channel/people-in-the-room.md)).

If an address does not look right, Rally says **Enter valid email addresses,
separated by spaces, commas, or semicolons.** If sharing fails, it says **The
conversation couldn't be shared. Try again.** The **Share** item is greyed out
until Rally has connected.

### What you are sharing

Sharing gives access to one conversation and nothing around it:

- Sharing a Channel, from its row or its title pill, shares the main
  conversation only. Its Breakouts stay private.
- Sharing a Breakout shares that Breakout only. The guest does not get the
  Channel's main conversation, its other Breakouts, or its list of participants.

Inside what you shared, a guest can read and write messages and open the
artifacts and files that belong to that conversation. They get access to the
conversation itself, not loose copies of the files.

> [!IMPORTANT]
> The invitation email quotes the conversation you are sharing: its last five
> messages, each cut to about a hundred words, plus a count of earlier ones. Check
> the address before you click **Share**. A typo sends that text to whoever owns
> the wrong address, and taking the invitation back later cannot unsend an email.

## What the guest sees

The guest gets an email with a link. Only someone who can sign in as that email
address can accept it, so a forwarded invitation is no use to anyone else.

Guests use Rally in a web browser, in a lighter version of the app made for
this. They see the conversations shared with them and the names of the
Spaces and Channels those conversations sit in, and nothing else in your
Organization. They cannot create Spaces or browse your Organization's directory.

In the **Members** list in Settings, guests appear with a **Guest** badge.

## Taking access back

Today, the **Share conversation** window only sends invitations. Rally does not
yet have a button in the app for withdrawing an invitation that has not been
accepted, or for ending a guest's access to a conversation they have joined.

If you need either of those done, write to
[help@rallywith.ai](mailto:help@rallywith.ai) with the conversation and the
guest's email address. [Contacting support](https://rallywith.ai/help/help-and-glossary/contact-support.md)
says what else to include. In the meantime, do not post anything in that
conversation that the guest should not read.

However access ends, the same things happen:

- Once access is removed, the guest stops seeing the conversation within moments,
  even if they have it open, and cannot reopen it.
- A withdrawn invitation link stops working. The person following it is told
  only that the link cannot be used, not why.
- Ending access to a shared Breakout leaves anything else that was shared with
  them separately, such as the main conversation, untouched.

## Turning a guest into a member

If a guest becomes a regular collaborator, an Organization owner or
administrator can make them a full member: in the **Members** list in Settings,
click **Make member** beside their name and confirm. See
